Overview:

The Workplace Experience Specialist is responsible for ensuring an optimal, safe, and engaging workplace environment across all company locations. This role combines strategic facilities management and employee experience initiatives to create a productive and welcoming workspace.

Key Responsibilities:

Facilities Management & Operations

  • Lease Management & Office Space Planning

    • Oversee lease renewals, negotiations, and scoping out new office spaces.

    • Manage and facilitate office moves, strategically partnering with stakeholders to forecast headcount and budget.

    • Understand and apply our working philosophy to optimize team collaboration within the office layout.

  • Safety & Compliance

    • Ensure the safety and security of employees and visitors, including compliance with state and federal safety and sanitation regulations.

    • Respond to emergencies and develop comprehensive emergency response plans.

    • Inspect facilities regularly to ensure compliance with codes and regulations.

  • Vendor & Contractor Management

    • Manage contractors and vendors, including landscapers, food vendors, and maintenance services.

    • Negotiate contracts to secure the best products and deals.

    • Schedule and supervise maintenance workers to maintain and repair grounds and facilities.

  • Budget Management

    • Proactively manage the workplace  budget, working closely with finance to maximize spending efficiency while keeping employee experience a priority.

    • Oversee budget creation for office-related expenditures, including food programs and other amenities.

Workplace Experience & Engagement

  • Workplace Experience

    • Develop and maintain food programs, ensuring a variety of meals, snacks, and more are provided within budget.

    • Proactively communicate office updates, including maintenance schedules, outages, and other relevant information.

    • Create a workplace environment that encourages employees to enjoy their time in the office.

  • Employee Experience

    • Lead the planning and execution of company-wide events, including Travel Week, and team offsites, while collaborating with the EA and People team to ensure these events are engaging, informative, and foster a sense of community.

    • Partner with leaders and the People team to ensure effective use of resources for remote employee engagement.

    • Manage and activate engaging Slack channels to boost morale and keep employees informed and connected.
