Maintains the efficient daily operation of the Medical Imaging Department, and handles patient registration, appointments, and reception duties. Provides theoretical, practical, and acquired experience to colleagues for educational advancement. Takes initiative to coordinate and assist colleagues as needed, maintains a clean and organized work area, and transcribes Medical Imaging reports accurately and efficiently. Handles data entry and maintenance of daily stats, monitors and reports unassigned or nearly breaching radiological exams, and provides secretarial support for statistical analysis and data collection. Collaborates with Radiologists and technologists, the individual schedules specialized examinations, coordinates second opinions and ensures timely report delivery. Collaborates on patient complaints follow-up, reports equipment faults, ensures timely report turnaround for external referrals, assigns radiological exams and maintains confidentiality in handling transcribed results while overseeing the storage policy for paper consumables in the transcription area.

  • Ensures efficient daily operation of the department patient registration, appointments, and other related reception duties as assigned.
  • Knowledgeable in all aspects of the daily activities and administrative duties of the Medical Imaging Department.

  • Initiates, coordinates, and assists other colleagues as the workload requires.
  • Keeps equipment and work area clean, tidy, and hygienic along with keeping food/drinks away from all work areas and personal items out of sight.
  • Transcribes Medical Imaging reports accurately and at an efficient rate.
  • Maintains accurate data entry and maintenance of Medical Imaging daily stats.
  • Maintains daily reports of unassigned and nearly breaching radiological exams and informs the Radiologist concerned.
  • Monitors and reports the radiology daily work list for pending exams which is missed to be completed.
  • Monitors and reports the radiology completed list for unassigned studies to radiologists.
  • Provides secretarial support in terms of statistical analysis, data collection and coordination of the department’s daily activities.
  • Works closely with the Radiologists and technologists in scheduling specialized examinations/procedures.
  • Coordinates with Radiologists, referring physicians and patients for second opinions of the scans and monitor timely delivery of the reports.
  • Assists with collating results of data collected for all Quality Improvement (QI), audits, and research-related activities.
  • Provides Medical Imaging Department with support required to drive improvement initiatives.
  • Attends to all telephonic inquiries in a professional /efficient and coordinated manner
  • Assists in the coordination and conducting of activities related to Performance Improvement (PI) and Quality Improvement (QI). 
  • Monitors consumables in the clerical areas and ensures orders of the required stock regularly.
  • Compiles and maintains accurate records of distributed reports.
  • Assists the Chief of Medical Imaging with the coordination of departmental PI activities 
  • Assists with follow-up of Patient Complaints as directed by (Chief of Medical Imaging/Technical Director) 
  • Reports equipment faults and initiates corrective action with the appropriate departments.
  • Ensures timely report turnaround for all external referrals as well as adhering to and monitors departmental policy for turnaround time.
  • Assign radiological exams under the ALLRAD folder to Radiologists as required.
  • Ensures all transcribed results are filed, distributed, or shredded confidentially.
  • Controls the policy about storing paper consumables in the transcription area.
  • High School Graduate
  • Secretarial or Administrative certificate preferred

PROFESSIONAL EXPERIENCE:

  • Minimum of two (2) years of experience in the Medical Imaging or Radiology Department in a Hospital setting
  • Knowledge of computer applications with word processing packages (e.g. Word, Excel and PowerPoint, Internet, and email systems)
  • Knowledge of Medical Terminologies
  • Skills in shorthand and audio typing
  • Ability to type a minimum of 50-60 wpm speed
  • Ability to take initiative and problem-solving in performing position-specific responsibilities
  • Ability to manage time efficiently and productively and complete work on schedule
  • Ability to speak and write in English fluently
