PolyAI is actively looking for a Talent and People Coordinator to join our growing team! Reporting into the Global Talent Lead, the Talent and People Coordinator will play a key role in supporting People (HR) and Talent Acquisition operations, ensuring the seamless execution of pre-boarding, candidate interview set up and calendar management, contracts, and Ad-Hoc projects.

Requirements

Qualifications and Experience

  • 1–3 years of experience in a similar HR or recruitment support role
  • Must have experience with Greenhouse ATS 
  • Must have experience with an HRIS, Hibob preferably 
  • Experience in a start up or scale up business

Talent Acquisition Support

  • Coordinate and manage job postings, scheduling interviews across international time zones, and communication with candidates and employees for interview set- up.
  • Support employer branding initiatives by maintaining job boards, social media channels, and careers pages.
  • Maintain and update the Applicant Tracking System (ATS) with accurate and up-to-date feedback.

People and Employee Support

  • Support pre-boarding processes, including preparation of offer letters, contracts, and coordination of candidate first day email communication. 
  • Assist with employee lifecycle events such as promotions, transfers, and exits, ensuring all documentation and processes are completed.
  • Maintain accurate and up-to-date employee records in the HR system.
  • Support HR compliance activities, including right-to-work checks and maintaining compliance with labor laws and company policies.

  • Communication Skills: Strong verbal and written communication skills for effective interaction with candidates, employees, and stakeholders.
  • Organisational Skills: Ability to manage multiple priorities, including calendar management, and meet deadlines in a fast-paced environment.
  • Attention to Detail: Accuracy in maintaining records and handling documentation.
  • Teamwork: Collaborative mindset with the ability to build relationships across teams.
  • Confidentiality: Ability to handle sensitive information with discretion and professionalism.

First Stage - Global Talent Lead (Line Manager), 30 minutes

Second Stage: Take home Task

Third Stage: Take home task review with People and Talent team, 45 minutes

Final Stage - VP of People, 30 minutes
