The Talent Acquisition Admin plays a key role in supporting the Talent Acquisition team by ensuring a smooth and efficient candidate onboarding process. They will be responsible for managing employment documents, following up on offer letters, and coordinating with candidates to confirm their attendance for the first day of training. This position requires strong organizational skills, attention to detail, and excellent communication abilities.
Key Responsibilities
Ensure all required employment documents are collected and submitted by candidates in a timely manner.
Follow up with candidates who have not yet signed their offer letters, providing reminders and guidance as needed.
Confirm with candidates their start date and ensure they are prepared for the first day of training.
Track the progress of each candidate throughout the hiring process and maintain accurate records in the Applicant Tracking System (ATS).
Liaise with HR and other departments to ensure a seamless handoff from recruitment to onboarding.
Provide administrative support to the Talent Acquisition team, including scheduling interviews, sending calendar invites, and coordinating candidate communication.
Handle candidate inquiries and provide assistance regarding the onboarding process.
Prepare and distribute onboarding materials such as welcome emails, first-day schedules, and other relevant information.
Assist with reporting on recruitment metrics and candidate pipeline updates.
Requirements
Proven administrative experience, ideally in a recruitment or HR setting.
Strong organizational skills with the ability to manage multiple tasks and deadlines.
Excellent communication skills, both written and verbal.
Ability to maintain confidentiality and handle sensitive information.
Experience with ATS or HR software is a plus.
English proficiency at a B2 level or higher.
