This includes collaboration with various departments, ensuring compliance with data governance standards, and driving innovation through AI and data utilization.

Position Details

The Strategic Assistant to the AI & Data Division Head will serve as a trusted partner and right-hand person to the Division Head, playing a critical role in ensuring the smooth execution of the Division's operations and strategic initiatives. This position requires a highly proactive individual who can anticipate needs, manage time effectively, and provide strategic and operational support. The ideal candidate will possess exceptional organizational skills, strong communication abilities, and the capacity to think several steps ahead in a fast-paced environment, acting as an extension of the Division Head to drive success.

Key Responsibilities

- Act as a trusted partner to the AI & Data Division Head, providing both strategic and operational support to ensure the Division's goals are met.

- Accompany the Division Head to all meetings, events, and engagements, ensuring seamless coordination and support.

- Manage the Division Head's calendar, prioritize tasks, and ensure effective time management.

- Anticipate the needs of the Division Head and take proactive steps to address them.

- Prepare and organize materials for meetings, presentations, and reports, ensuring high-quality deliverables.

- Act as a liaison between the Division Head and internal/external stakeholders, ensuring clear and effective communication.

- Facilitate communication across the AI & Data Division and other relevant stakeholders, ensuring alignment and smooth collaboration.

- Monitor and track the progress of key initiatives and projects, providing updates and reminders as needed.

- Handle confidential information with the utmost discretion and professionalism.

- Support the Division Head in strategic planning and decision-making processes by providing relevant information and insights.

- Strong interpersonal and communication skills, with the ability to interact professionally with stakeholders at all levels.

- Proactive mindset with the ability to anticipate needs and act independently.

- High level of discretion and professionalism in handling sensitive and confidential information.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and other business communication Apps.

- Fluency in both Japanese and English, with excellent verbal and written communication skills in both languages.

- Flexible mindset to adapt to changes and shifting priorities.

- Ability to stay attentive to ongoing activities and retain important details.

- A good listener who can quickly grasp concepts, internalize learning, and amplify it effectively.

- Curiosity and an open mind, combined with a growth mindset to continuously learn and improve.

- Demonstrated ability to learn quickly and adapt, with a focus on speed of learning.

Desired Qualifications:

- Experience working in a strategy planning or project management environment is a plus.

- Familiarity with AI, data governance, or technology-related fields is an advantage.

- Strong problem-solving skills and the ability to adapt to changing priorities.

- Experience preparing materials and presentations for senior-level management.
