The Sr. Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO and a few members of the leadership team. This position requires the ability to anticipate needs, think critically, and offer solutions with a high level of professionalism and confidentiality. It also requires exceptional organizational skills, attention to detail, and the ability to handle a wide variety of tasks in a collaborative manner with consistent delivery of exceptional customer service.

This is an in-office position with work during typical business hours, occasionally requiring evening attendance at events or meetings. Flexibility in working hours is essential to accommodate the CEO’s schedule, needs, and occasional after-hour events.

What You’ll Do…

• Demonstrate the ability to blend a positive attitude, flexibility, and discretion, while managing multiple priorities.

• Anticipate needs, take initiative, proactively address problems with sound judgment, and handle confidential and sensitive information discreetly.

• Manage calendar, schedule meetings, and coordinate video calls and dial-in information, ensuring all appointments and engagements are well-organized and timely.

• Manage and collaborate with other Executive Assistants to ensure seamless coordination and communication across the administrative team.

• Communicate with the team, clients, vendors, and partners both verbally and in writing, providing personalized and timely support, prioritizing inquiries and requests, and making judgments and recommendations to ensure smooth day-to-day engagements.

• Support the CEO’s role with external board of director involvement, including preparing for meetings, coordinating meetings, and engaging with stakeholders.

• Coordinate travel and related activities, ensuring they are well-organized and executed smoothly.

• Manage an electronic filing system for CEO documents and files.

• Assist in special projects and initiatives as assigned, collaborating with other team members to drive successful outcomes.

• Contribute ideas for continuous improvement.

What You Will Bring:

• 7+ years of previous experience as an Executive Assistant to CEO.

• Bachelor's Degree or higher.

• Proficiency in all Microsoft Programs, Word, Excel, PowerPoint, Outlook.

• Exceptional organizational and follow-through abilities, being orderly and detail-oriented with the capacity to manage multiple tasks simultaneously, prioritize effectively, and archive documents and work products both accurately and efficiently.

• Experience making appropriate, informed decisions regarding priorities and available time.

• Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.

• Experience handling sensitive situations and confidential information with utmost care and professionalism.

• An enthusiastic demeanor and a strong commitment to work.

• Ability to build strong relationships, understand priorities, and effectively communicate with executive management.

• Flexibility and adaptability to handle changing priorities and deadlines.
