We're seeking a detail-oriented Recruiting Coordinator to join our talent team at Luma AI. In this pivotal role, you'll ensure a seamless candidate experience while supporting our recruiting team in finding exceptional talent to build groundbreaking AI technology. The ideal candidate is highly organized, tech-savvy, and passionate about creating an outstanding experience for everyone who interacts with our hiring process.
What You'll Do
Manage end-to-end interview scheduling for candidates and hiring teams, creating a smooth, well-coordinated experience
Serve as the primary point of contact for candidates, providing timely updates and clear communication throughout the hiring process
Maintain accurate candidate data and documentation in our ATS (Ashby)
Coordinate candidate travel and accommodations when necessary
Prepare interview materials and assist with interview panel preparation
Help organize and execute recruiting events, both virtual and in-person
Track recruiting metrics and prepare regular reports on hiring progress
Identify opportunities to improve and streamline our recruiting processes
Collaborate with the broader talent team to ensure consistent quality across all candidate touchpoints
What We're Looking For
3+ years of experience in recruiting coordination, preferably in a technology company
Strong organizational skills with exceptional attention to detail
Experience with ATS systems (Ashby experience is a plus)
Excellent written and verbal communication skills
Problem-solving mindset with ability to juggle multiple priorities
Tech-savvy with proficiency in Google Workspace, scheduling tools, and willingness to learn new systems
Strong interpersonal skills and ability to work with diverse stakeholders
Experience supporting technical hiring is a plus
