We are seeking an organized and proactive Recruiting and People Operations Coordinator with at least 2 years of experience to join our team. This role will play a key part in managing the recruitment process, supporting people operations, and enhancing the employee experience. The ideal candidate will be detail-oriented, a strong communicator, and excited to contribute to both recruiting and people operations functions.

This is a hybrid position with set in-office days each week (Mon, Tue, Thu) in San Mateo, CA.

What You'll Do:


Recruiting Coordination (50%)

  • Coordinate end-to-end recruitment processes, including job postings, candidate sourcing, and interview scheduling across technical and non-technical teams.

  • Partner with hiring managers and recruiters to understand role requirements and develop effective recruitment strategies.

  • Maintain and manage the Applicant Tracking System (ATS) to ensure data accuracy and pipeline visibility. We use Ashby at Luminai.

  • Assist in employer branding initiatives, including LinkedIn posts and career events.

People Operations (50%)

  • Support the onboarding process for new hires, ensuring a smooth and welcoming experience.

  • Help manage employee engagement initiatives, including surveys, events, and recognition programs.

  • Maintain core office tasks such as communication with janitorial and service staffs, restock orders of office snacks, and maintaining new hire desk set up orders.

  • Provide administrative support for People Operations projects and initiatives.

Who we're looking for:

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.

  • 2+ years of experience in recruiting coordination, HR operations, or a related role.

  • Strong organizational and project management skills with attention to detail.

  • Excellent written and verbal communication skills.

  • Proficiency with ATS and HRIS systems (e.g., Rippling, Ashby, etc) is a plus.

  • Ability to handle sensitive and confidential information with discretion.

  • A proactive, problem-solving mindset with a strong sense of ownership.
