ROLE PURPOSE

The Receptionist is the first point of contact for all visitors and callers, representing the company in a professional and welcoming way. The role is responsible for managing front-desk operations, visitor coordination, and general administrative support. This position plays a vital role in ensuring smooth daily operations while maintaining high standards of confidentiality, safety, and service.

Responsibilities

• Welcome and register visitors, clients, and vendors in line with security protocols and company standards.
• Manage the front desk operations, including answering and routing calls, responding to inquiries, and directing internal and external communication.
• Maintain strict access control and ensure all guests comply with safety and security regulations.
• Schedule and manage meeting room bookings, coordinate video conferences, and assist with logistics for company events and executive meetings.
• Receive, log, and distribute all incoming mail, courier packages, and company correspondence.
• Coordinate with other departments to report and resolve office maintenance issues.
• Maintain a clean, organized, and professional reception area that reflects the company’s image and values.
• Support the HR and Admin teams with clerical tasks such as document preparation, data entry, and filing.
• Manage office supplies inventory and initiate purchase requests when necessary.

Qualifications

• High school diploma or equivalent; diploma or degree in business administration or hospitality is a plus.
• 4+ years of experience in a front-desk or administrative role, preferably in aerospace, or engineering environment.
• Strong verbal and written communication skills in English; Arabic is an advantage.
• Highly professional appearance and demeanor with a customer-focused attitude.
• Ability to handle sensitive information with discretion and confidentiality.
• Excellent organizational and multitasking skills.
• Proficient in Microsoft Office (Outlook, Word, Excel, Teams).
• Calm under pressure and capable of managing multiple priorities.
