We are seeking a dedicated individual to assist our dynamic CEO and his Executive Assistant with a wide range of personal and professional administrative tasks. Your role will be crucial in ensuring the seamless operation of both personal and business affairs. 

Key Responsibilities: 

As a Personal and Professional Assistant, you will be responsible for: 

  • Building and maintaining a meticulously organized calendar, encompassing both business and family commitments, to avoid double bookings or scheduling conflicts. 
  • Obtaining quotes for various needs, and making consistent recommendations for the final decision. 
  • Assisting with personal and business travel plans, including numerous international trips, Airbnb accommodations, resorts, and more. 
  • Assisting in the administration of the company’s daily tasks, 
  • Assisting the CEO with IT improvements or issues solving. 
  • Being able to spend some time during the weekend to help with any urgency  
  • Updating and syncing Contacts from different platforms. 
  • Handling bill payments and setting up autopayments to ensure financial matters run smoothly. 
  • Managing access to the companies’ shared platforms with the subcontractors. 

Required tools: 

  • Proficiency in MS 365 is essential, particularly in linking Outlook calendars to streamline scheduling, PowerPoint, Word, and Excel. 
  • Expertise in calendar management with multiple calendar platforms 
  • Asana and other Project Management apps 
  • Good knowledge or understanding of MacBook and iPhone 

Ideal Candidate Profile:

  • Previous experience as a Personal Assistant, demonstrating the ability to handle effectively diverse administrative tasks. 
  • Exceptional responsiveness during Eastern working hours, ensuring timely support. 
  • Strong adaptability to evolving priorities and tasks, in a fast-paced and professional environment. 
  • Fast learner and proactive. We’re seeking a hardworking and driven individual dedicated to enhancing our company’s operations and improving the CEO’s lifestyle. 
  • A creative and innovative mindset, capable of providing unique solutions to challenges. 
  • Fluent in English.
