The 42dot Operation Manager plays a central role in office management, ensuring smooth administrative operations and driving efficiency. This role is pivotal in driving operational efficiency within a dynamic environment.

Responsibilities

  • Office Management:
  • Oversee the daily operations of the office, ensuring efficiency and effectiveness.
  • Develop and implement operational policies and procedures.
  • Ensure the office environment is conducive to productivity and innovation.

  • Facility Management:
  • Manage office facilities, including space planning, maintenance, and security.
  • Coordinate with building management and external vendors for office services and maintenance.
  • Ensure compliance with health and safety regulations.

  • Administrative Support:
  • Provide high-level administrative support to the executive team.
  • Manage schedules, appointments, and travel arrangements.
  • Oversee office communications, including correspondence and phone calls.

  • Resource Management:
  • Manage office supplies and inventory, ensuring timely procurement and replenishment.
  • Negotiate contracts with suppliers and service providers.
  • Optimize resource allocation to meet operational needs.

  • Team Leadership:
  • Lead and supervise administrative and support staff.
  • Provide training, mentorship, and performance evaluations.
  • Foster a positive and collaborative work environment.

  • Budget and Financial Management:
  • Assist in budget preparation and monitor office expenditures.
  • Handle invoicing, receipts, and petty cash management.
  • Coordinate with the finance department for financial reporting and compliance.

  • Event Planning and Coordination:
  • Plan and coordinate company events, meetings, and conferences.
  • Manage logistics for internal and external events.
  • Ensure events run smoothly and within budget.

  • Technology and Tools Management:
  • Oversee the implementation and maintenance of office technology and tools.
  • Ensure the office has the necessary technological infrastructure to support operations.
  • Coordinate with IT for technical support and system upgrades.

  • Implement programs and initiatives to improve employee engagement and satisfaction.
  • Address and resolve employee concerns and issues.

Qualifications

  • Proven track record of managing administrative operations, office management, facilities coordination.

  • Strong interpersonal and communication skills, with the ability to interact effectively.
