We are currently seeking an experienced and highly organized Office Manager to lead and support administrative operations within the finance team. This is a vital role focused on driving workplace efficiency, coordinating cross-functional activities, and ensuring the smooth functioning of daily office operations.

Job Summary

The selected candidate will take on the role of Office Manager – Finance Team, responsible for supervising administrative personnel, optimizing office procedures, and providing executive support to leadership. The ideal candidate will bring strong leadership capabilities, excellent communication skills, and a hands-on approach to managing office functions and supporting departmental needs.

Key Responsibilities

Office Administration & Coordination

  • Oversee and manage daily office operations to ensure optimal productivity and efficiency.
  • Supervise administrative staff, including receptionists, secretaries, and office assistants.
  • Develop, implement, and maintain office policies, procedures, and systems to support effective workflows.
  • Monitor and manage office supplies, inventory, and equipment maintenance.

Executive & Departmental Support

  • Coordinate and schedule meetings, appointments, and travel arrangements for senior management.
  • Collaborate with internal departments to ensure smooth communication and interdepartmental coordination.
  • Prepare and review reports, presentations, and documents for leadership as needed.
  • Manage sensitive information and maintain strict confidentiality.

Team Management & Development

  • Conduct performance evaluations and provide ongoing coaching and feedback to administrative staff.
  • Train and onboard new team members in office protocols and company procedures.
  • Foster a positive work environment that promotes collaboration, efficiency, and continuous improvement.

Facility Management & Problem Solving

  • Oversee office maintenance and facility management, ensuring a clean and functional work environment.
  • Address and resolve office-related issues, acting as a liaison between employees and service providers.
  • Identify opportunities to enhance operational efficiency and implement improvement initiatives.

Required Qualifications and Skills

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 3 years of experience in office management or a similar administrative leadership role.
  • Strong leadership and team management capabilities.
  • Excellent organizational and communication skills.
  • Proficiency in Microsoft Office Suite and relevant office management tools.
  • Experience in budgeting and cost control is a plus.
  • Strong multitasking abilities with a proactive and solution-oriented mindset.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Bilingual fluency in English and Arabic (written and spoken) is required.
