Provides a high-level seamless Dubai Health Authority's licensing and onboarding service to Physicians/Nurses/Allied Healthcare within your area of responsibility and delivers a timely and efficient service, in in-line with the American Hospital organisational strategy, responsible for supporting the Physician Recruiter and Senior Recruitment Specialist during busy periods.

  • Ensures the administrative duties relating to Dubai Health Authority licensing and onboarding of full time and locum staff are carried out smoothly in an efficient and effective manner.
  • Provides clear communication to internal and external enquiries.
  • Maintains files related to Physician, Allied Healthcare and Nurse Recruitment and must exercise confidentiality.
  • Informs the selected candidates about the Dubai Health Authority licensing formalities, and requirements.
  • Coordinates with the selected Physicians, Allied Healthcare and Nurses on the entire Dubai Health Authority processing from the start of the application to license issuance.
  • Ensures close follow up with the candidates for collating and scanning of the documents needed for the Dubai Health Authority application.
  • Uploads the Dubai Health Authority applications and follow up with the Dubai Health Authority personnel on a regular basis on the applications submitted.
  • Uploads the Dataflow applications and follows up with the Dataflow personnel on a regular basis.
  • Ensures the Prometric test is applied for in a timely manner and coordinating with the candidates for the same.
  • Maintains the statistical data on Dubai Health Authority license information, submission, renewals, and cancellations.
  • Sends out the e-license copies of new and renewed licenses to the Physicians, Allied Healthcare and Nurses.
  • Updates Dubai Health Authority license through iFusion.
  • Creates Cerner account towards the Learning Journey for the candidate.
  • Maintains and prepares accurate expense report for the corporate credit cards used for the Dubai Health Authority and Dataflow portals.
  • Provides yearly statistics for Dubai Health Authority.
  • Coordinates with the Transport Department for Physician, site visits, Dubai Health Authority interviews, and airport transfers for joining and leaving Physicians including locum and full-time Physicians.
  • Coordinates with the Physician Recruiters and the Human Resources Housing section for the allocation of villas/apartments.
  • Coordinates with the Recruiters and the Human Resources Government Relations for processing new visas for the selected staff.
  • Coordinates with Employee Health Nurse for Pre-employment medicals.
  • Coordinates with the Travel desk for ticket booking for locum and newly joined eligible employees.
  • Arranges the Marhaba for the newly joined Physicians and their families.
  • Ensures that the Housing Department is informed and arranges for the apartment for locum and newly joined Physicians and other staff.
  • Ensues that the rent-a-car and sim card is arranged for locum Physicians.
  • Requests Malpractice Insurance Cover for newly joined/locum Medical Professionals and during renewal of licenses.
  • Coordinates with Human Resources Operations regarding ID badge preparation.
  • Coordinates with Employee Health Nurse for Medical Insurance for eligible staff and their dependants.
  • Coordinates with human Resources Government Relations for processing Residence Visas for the eligible dependants.
  • Participates in the department program for Joint commission International Accreditation's assessment.
  • Prepares the Medical Affairs and Human Resources files personnel files for newly appointed Physicians.
  • Prepares Human Resources files for newly appointed other staff.
  • Adheres to professional conduct, communication, and presentation at all times to continually promote the organisation, ensuring candidates are given the best impression of the organisation to drive American Hospital Dubai forward as an employer of choice.
  • Certificate/Diploma or Graduate or equivalent from a recognized University/College

PROFESSIONAL EXPERIENCE:

  • Minimum of two (2) years of experience in a similar role
  • Excellent command of spoken and written English
  • Well-versed in Microsoft Office applications
  • Knowledge of the Dubai Health Authority's Professional Qualification Requirements (PQR) for Nurses and Allied Health Professionals
  • Previous Middle Eastern experience in the Healthcare sector is preferable
