POSITION TITLE  : HR Executive of HR Operations 

REPORTS TO : Assistant HR Director for Operations

POSITION SUMMARY:

Performs a variety of Human Resources Personnel-Related duties including but not limited to maintaining the Oracle (iFusion) Database, Staff Out-Process, and all employee personnel files and scanned records. Process all payroll and non-payroll transactions related to exclusions and enter data on the iFusion system. Provide clear communication to internal and external enquiries at all times.

DUTIES AND RESPONSIBILITIES:
  • Prepares and processes iFusion Oracle System on a daily basis with changes and updates for all payroll-related activities such as transfers, terminations, and resignations.
  • Handles entire Out-Process from staff resignation, clearance, insurance cancellation, visa cancellation, and final settlement.
  • Conducts exit interview meetings with staff to explore concerns.
  • Prepares KPI reports related to the time taken to release the final settlement.
  • Assists in managing the Work Force Scheduler by ensuring rostering, overtime approvals, and on-call approval are properly done and there are no violations in the system.
  • Records, registers, and files all documents, correspondence, etc.
  • Assists in the staff orientation presentation given to new joiners.
  • Prepares experience letters for ex-employees.
  • Maintains the neatness and organization of personnel files and filing cabinets.
  • Assists in preparing monthly HR reports by using ad hoc reporting on-line statistics.
  • Ensures adherence to American Hospital Dubai's policies and procedures by checking personnel actions.
  • Performs other related duties as assigned.
QUALIFICATIONS & SKILLS:
  • Bachelor's Degree in business or related field
PROFESSIONAL EXPERIENCE:
  • Minimum of four (4) years of experience in a similar role
  • Previous Personnel and Payroll experience
  • Familiarity with Human Resources Department policies and procedures
  • Knowledge of UAE Labour Law
  • Strong experience in HR Oracle system
  • Previous experience in a Healthcare establishment is an advantage
  • Prepares and processes Oracle (iFusion) System daily with changes and updates for payroll-related activities related to new appointments, staff transfers, title changes, creating new departments and positions, updating personal details, etc.
  • Generates Monthly Joiners Reports, updating joiners' details in Oracle, and responsible for Contingent Workers' Details in the system.
  • Oversees the Workforce Scheduler by ensuring rostering, overtime approvals, and on-call approval are properly done and there are no violations in the system.
  • Reviews the Workforce Scheduler system for the monthly working hours, incorporating overtime, and deductions.
  • Monitors the Leave Management system on iFusion.
  • Prepares Contracts for new staff, addendum, extension and contract renewal.
  • Reviews the Salary Advance requests received from staff.
  • Prepares bank account openings for new staff and registers new bank account details in the system.
  • Handles for the Biometric - Time and Attendance System.
  • Prepares and updates the monthly Human Resources (HR) and Key Performance Indicator (Leave) reports by using ad hoc reporting online statistics.
  • Acts as liaison between IT and the HR Operation team for enhancements and resolving system issues.
  • Delivers orientation for Managers/Timekeepers/Staff Members regarding the Workforce Scheduler (WFS) system.
  • Tests the HR solutions before changes and enhancements in the processes are deployed in the system.
  • Develops, updates, implements and/or communicates personnel policies and procedures in compliance with standard HR practices, laws and regulations to staff.
  • Records, registers, and files all documents, correspondence, etc.
  • Ensures adherence to American Hospital Dubai's policies and procedures by checking personnel actions.
  • Maintains the neatness and organization of personnel files and filing cabinets.
  • Performs any other job-related duties as assigned by either the Employee Relations Supervisor and/or Asst. HR Director
  • Performs other related duties as assigned.
  • Bachelor's Degree in business or related field

PROFESSIONAL EXPERIENCE:

  • Minimum of six (4) years of experience in a similar role
  • Previous experience in a Healthcare establishment preferred
  • Knowledge of Human Resources Management System (HRMS) systems and Oracle
  • Knowledge of Human Resources Department policies and procedures
  • Knowledge (basic) of UAE Labor Law 
  • Skills in Human Resources' Oracle system
