Meet the team:

The Real Estate and Workplace Services Team (REWS), is an integral cross-function support team comprised of Facilities, Security, Logistics, and Real Estate groups. This team is responsible for internal and external site coordination across all Latitude locations, as well as support for employees and external guests. The Facilities Associate role will support operations out of our Pittsburgh facilities, actively managing daily facility, security, and logistics responsibilities and requests in a timely fashion.

This contract will be 3 months in length.

What you’ll do: 

  • Supports all REWS operations at site, working onsite daily to provide direct employee and vendor support, conduct facility walkthroughs, schedule repairs and maintenance needs, move activities, and respond to all requests in a timely fashion. More specifically: 
    • Completes / documents regularly scheduled facility maintenance walk-throughs, ensuring upkeep of space and cleanliness of facilities
    • Scope, coordinate and complete routine maintenance activities in house
    • Monitor interior and exterior areas of buildings for cleanliness and general conservation
    • Support maintaining and updating project scopes of work, budgets and schedules
    • Manage vendors/contractors performing maintenance and construction related work on site
    • Performs variety of minor repairs and maintenance in the building. Including but not limited to items such as replacing light bulbs, replacing ceiling tiles, handling minor plumbing issues, completing paint touch ups)
    • Comply with all health and safety policies and procedures and reporting areas of noncompliance
    • Supports and participates in safety planning/executing evacuation drills and provides required training as needed 
    • Supports special events on-site, assisting with setup/teardown and additional components as requested
    • Create and execute JIRA tickets based on REWS provided guidelines and SLAs, ensuring that they are completed and closed in a timely fashion with excellent customer service and communication
    • Support catering and snack program, including coordinating orders for on-site meals 
    • Supports the office supplies and consumables program, including taking inventory, ordering supplies, replenishing and managing conference spaces 
    • Provides support to keep up to date headcount documentation and projections, supporting space planning initiatives, desk moves and additions
  • Provide additional Logistics Operations support, including:
    • Physically receive and distribute incoming equipment and supplies addressed to Latitude; in coordination with facility Logistics Lead
    • Support incoming tickets requests 
    • Provide positive and expeditious experience to all customers, both internal and external
    • Partner with Logistics and Inventory Controls to assist with onsite projects
    • Coordinate with the Logistics team to maintain accurate systemic records of all IT equipment, select hardware, and supplies; inclusive of inventory counts, asset system tracking, and internal / external audits
    • Manage onboarding equipment preparation, distribution, and inventory maintenance
    • Support new and ongoing training efforts of team members who interact with Logistics activities 
  • Provides additional Physical Security support, including:
    • Performs light physical security duties as needed onsite and management within physical security softwares
    • Provides additional coverage as needed for reception functions, including answering office phone, welcoming visitors, supporting the interview candidate experience

What you'll need to succeed:

  • Minimum 2-3 years Facilities experience
  • Exceptional, demonstrated customer service skills required
  • Strong attention to detail
  • Moderate MEP knowledge and skill set
  • Knowledge of HVAC and other building systems
  • Strong time management and multitasking skills
  • Basic understanding of accounting and finance principles
  • Willingness to be available after hours and in emergency situations
  • Computer proficiency with Microsoft Office and Google Suite (preferred)
  • Ability to lift up to 50lbs required and do other labor-intensive tasks
