Role Summary We are seeking a highly motivated, organized, and experienced Executive Assistant to support our Head of Public Affairs in our fast-paced startup environment. The ideal candidate will have a strong work ethic, excellent communication skills, and the ability to handle a wide variety of tasks with professionalism, rigor and confidentiality.This person will report to the Head of Public Affairs (based in Paris).
Key Responsibilities 
1/ Dynamic Schedule Management: • Oversee and adapt a complex, ever-changing agenda, with a keen eye for prioritization• Triage emails effectively, highlighting critical issues, delegating tasks, and filtering out low-priority items
2/ High-Level Stakeholder Communication: • Serve as a responsive and reliable point of contact for external stakeholders, including Ministers and government officials, international organizations, journalists, media, the public
3/ Internal Communication Coordination: • Organize and streamline Public Affairs & Communications team communications to ensure everyone is informed and engaged
4/ Comprehensive Administrative Support: • Handle administrative and office support tasks, such as expense management, team organization and coordination
5/ Seamless Event & Travel Coordination: • Plan and execute internal events (e.g., team offsites) and travel arrangements, including accommodations, transportation, and logistics
6/ Public Affairs Project Leadership: • Spearhead ad hoc projects related to public affairs, with a focus on philanthropy and partnerships (e.g., donations and sponsorships)
The Executive Assistant to the Head of Public Affairs will need to maintain strict confidentiality and professionalism in all aspects of the role, an demonstrate excellent judgment, adaptability, and adherence to ethical standards.
Required Qualifications• Proven experience as an Executive Assistant of an Executive• Experience with high-level stakeholder management, and familiarity with protocol and etiquette for interacting with these stakeholders• Experience working in demanding environments with international stakeholders (fluent English a requirement)• Understanding of public affairs, politics, and policy-making processes• Experience working in a fast-moving industry with global scale• Excellent communication skills• Strong work ethics and attention to details• Bonus: Proven experience in a related field -- NGOs, international organizations, corporate public affairs, communications departments, political campaigns or offices
