Provides administrative and secretarial support to the Chief Medical Officer in the full range of his activities and administrative responsibilities.

Quality and Accuracy

  • Maintains diary, schedules and organizes appointments, and liaises with internal and external customers on an everyday basis.
  • Organizes and schedules committee meetings of which the Chief Medical Officer/Assistant Chief Medical Officer is the chairman, prepares and distributes related packages before the committee meetings to the committee members on a regular monthly basis. Responsible for typing and distributing the meeting minutes in a timely fashion.
  • Prepares all necessary documents for the Chief Medical Officer (CMO) before his meetings.
  • Organizes ad hoc meetings promptly at the call of the CMO.
  • Arranges/schedules required appointments with community physicians, clinics and outside organization, if and when required, in a timely fashion.
  • Assists the Assistant CMOs (ACMOs) as and when required.
  • Handles telephone enquiries/other messages, etc. ascertaining urgency accordingly communicating with the Chief Medical Officer.
  • Liaises with government bodies such as the Dubai Health Authority and Ministry of Health concerning appointments, visits and forwarding statistics and other information to them regularly.
  • Disseminate correspondence from the Dubai Health Authority (DHA) to the concerned department.
  • In conjunction with the Clinical Governance Department, keeps track of correspondence with DHA about patient complaints/circulars.
  • Liaises with physicians for investigation meetings arranged by DHA.
  • Coordinates with Human Resources about site visits and itineraries of candidates.
  • Prepares and sends out reference letters for physician candidates.
  • Making travel arrangements for CMO’s Business Trips when required.
  • Prepares reports promptly to be submitted to Head Office for meetings organized by Head Office.
  • Ensures timely completion of physicians’ probationary evaluations in coordination with the HR Department.

Quantity /Organizational Skills

  • Provides full administrative support to the CMO office to ensure its smooth operation.
  • Provides required full support to the Group Chief Executive Officer in the absence of his Office Manager.
  • Liaises with Board of Directors secretaries and other hospital secretaries with a professional attitude.
  • Supports Clinical Governance Department efforts as time permits about American Hospital Dubai's requirements.
  • High School Diploma
  • Secretarial Diploma / Certificate in computer skills/conversant with word processing packages (e.g. Word, Excel, PowerPoint, Outlook, etc.)

PERSONAL EXPERIENCE:

  • Minimum of two (2) years of previous administrative experience for which at least one (1) year related to healthcare
  • Minimum typing speed of 50 – 60 wpm
