The OpportunityWe are looking for a highly organized individual, who wants to "roll up their sleeves", and play multiple roles to support Fiddler’s Leadership Team and People Ops Team as we navigate our hyper-growth. This role is expected to work in the Palo Alto office 5 days a week and will report to the Senior HRBP.
What You'll Do - Executive Assistant
Core executive assistant to the Chief Executive Officer and Fiddler leadership team
Assist in coordinating company-wide & leadership meetings
As needed, coordinate a high volume of meetings with candidates, hiring teams, and the leadership team
What You'll Do - Office Manager
Oversee the day-to-day operations of our Palo Alto office, assist in developing the future office strategy, as well as implementing office policies to maintain an efficient workspace
Manage relationships, contracts, etc. with local vendors, contractors, property managers, and local authorities
Lead, organize & communicate company-wide events, happy hours, offsites, & team-building activities, and coordinate travel & expenses for remote employees
Manage company swag, employee gifts, employee birthdays & anniversaries, etc
Manage daily lunch ordering (lunch is provided daily for all in-office employees)Restock printer ink, paper, markers, etc
Greet and assist candidates who come into the office for interviews with a warm and positive attitude
What You'll Do - IT Operations/ HR Operations
Assist with pre-boarding employee logistics (mailing laptops & swag to new hires)
Assist with onboarding new hire software setup & access management (Google, Slack, etc.)
Assist with offboarding employees (deactivating software)
Manage additional HR operations functions
What We're Looking For
4+ years of experience as executive assistant, office manager
Bachelor’s degree in business administration or a related field preferred
Previous facilities or Office Management, Executive Assistant & onboarding experience, and additional People Operations experience is a plus
Strong ability to prioritize, while maintaining flexibility and agility in a fast-paced environment with changing demands
Organized, detail-oriented, and proactive with a “no job too small” mentality
Culture creator, who can help connect the team when in and out of the office
Self-starter with a “can-do” attitude, who can execute with minimal training
Strong interpersonal skills, with the ability to work with various people and teams
Excellent time management skills with the ability to multi-task, prioritize work, and manage projects
Experience (or fast to learn) with G Suite products, Asana & Docusign
Pay Range in Palo Alto California is $70,000 - $85,000. Onsite 5 days a week in the Palo Alto office. The posted range represents the expected salary range for this job requisition and does not include any other potential components of the compensation package, benefits, and perks previously outlined.
