SUMMARY
Reporting to the Vice President for Enrollment Management and serving as a senior team member
within the division, the Director of Enrollment Systems provides data and systems strategic and
operational leadership in support of the Enrollment Management division. This individual will ensure
the high-quality execution of and leadership to technology-supported business processes, data
management, systems management, project management, reporting and analytics, and process
design.
ESSENTIAL JOB FUNCTIONS (including but not limited to)
● Lead the Enrollment Management Systems team that is responsible for the overall
management of processes for the collection, organization, analysis, and dissemination of
student and financial data, reports, credentials and dashboards for Enrollment Management.
● Manage a high volume of data and analytics projects simultaneously. Develop the priority of
projects based on EM goals and strategic plan. Monitor the progress to ensure timely
completion of deliverables and communicate changes to project plans and scope.
● Build, optimize and enhance data-driven admissions CRM, processes, resources, and
recruitment tools.
● Hire, train, and supervise the Assistant Director of Enrollment Management Systems and
Data Coordinator.
● Lead the work of the Assistant Director and Data Coordinator in managing all features,
processes, and functions associated with CalArts & recruitment system (Slate by
Technolutions), and serve as a Slate captain.
● Collaborate with the Director of Enrollment Management Communications and support
enrollment campaign communications (email, text, online, print) associated with CalArts’ CRM
recruitment system, Slate.
● In collaboration with the Executive Director of Admissions, oversee the processing of
applications and documents to expedite the evaluation and admission decision-making for
undergraduate applicants, graduate applicants, international applicants, and other applicant
groups as relevant.
● Manage application and document intake and storage using Slate CRM and Colleague ERP
and supporting software, including, when needed, development and implementation of rules,
processes, data mapping as required, updating and testing for system upgrades.
● Ensure the Vice President for Enrollment Management, Enrollment Leadership Team, and all
Enrollment staff have all data and reporting needed to effectively meet the goals of the
division.
● Develop and train Admissions users on best practices of Slate CRM, including facilitation of
training workshops and accompanying materials.
● Serve as primary data steward of all enrollment data to internal partners like the Offices of
Institutional Research, Academic Advising, the Registrar’s Office, Deans and faculty.
● Collaborate with CalArts IT and other campus offices to oversee effective data exchange and
management across all enrollment related systems, including Slate, Colleague, Sunapsis,
and Tableau.
● Serve as primary data steward of all enrollment data to external partners.
● Ensure data integrity and security throughout all enrollment systems and reporting tools.
● Collaborate with the Admissions team in the implementation of strategic recruitment plans,
creation of policies and goals, and assessment of outcomes each admission cycle.
● Represent Enrollment Management Systems in planning, implementation and coordination of
technical functions related to SIS/ERP, CRM, business intelligence, and institute proposals
related to technology processes.
● Develop and maintain comprehensive systems and data documentation across all Enrollment
systems and data repositories.
● Conduct surveys and data analysis for institutional reporting.
EDUCATION
• Bachelor’s degree, Master’s degree or equivalent experience preferred
EXPERIENCE
• 5 - 8 years progressive experience in enrollment technology and familiarity with operations positions
• Experience in Slate CRM system.
• Experience in Colleague SIS platform highly preferred
• High degree of comfort with technology and data management/manipulation
• Experience in a fast-paced office environment
