This is an exciting opportunity for someone to join the DS&AI Business Planning & Operations Department within DS&AI function with a focus on coordination and delivery of several activities. We are looking for a project coordinator with a passion for Data Science and Artificial Intelligence to coordinate a few activities including but not limited to, portfolio management, systems updates, staff engagement. In particular, the candidate will support our governance and portfolio management to ensure projects belonging to the portfolio are managed effectively through our governance and provide support to the coordination of staff engagement activities which include but are not limited to: staff training, and awards assignment.

Reporting directly to the DS&AI director of Delivery and Change, our DS&AI project coordinator will have a strong ability to work effectively and coordinate  a range of activities and experience working with junior and senior stakeholders across AZ who wants to contribute towards embedding DS&AI in R&D.

Broad Accountabilities/responsibilities

  • Managing Microsoft Teams/Box folder content and access
  • Populate relevant systems
  • Work with relevant partners to maintain relevant trackers up to date
  • Looks after versions of tools and templates
  • Responsible for central coordination and preparation of documentation for senior leadership and project governance – using Box and SharePoint.
  • Managing key information, preparing agendas and other relevant documentation, in a timely manner to ensure the smooth running of the relevant team meetings
  • Work with relevant executive Personal Assistants (PA) to schedule and coordinate  logistics for senior leadership team and project governance/portfolio meetings;
  • Collaborating with relevant stakeholders and interacting directly with leaders to collate presentation materials.
  • Work with executive PA teams to organise internal/external meetings, including global conference calls
  • Supporting the relevant collaborators in preparing information and managing logistics for AZ Committee meetings with relevant Board members and senior partners.

More specific activities include but are not limited to

  • Owns and manages the full portfolio of DS&AI projects/services (e.g.: full projects/services tracking, strategic projects/services achievements tracking)
  • Provides support to SPF and governances processes
  • Drives a process which ensures that projects/services roadmaps are built and maintained up to date within the dedicated repository
  • Works with Comms to ensure that projects/services Milestones are well defined and described in accessible terms
  • Drive PPM tool deployment, adoption and management including required input into the ppm tool to cover any adoption gap
  • Drives the Thriving Workplace (TW) agenda for DS&AI (this could also be potentially be of interest to other team members if reduced bandwidth)
